Parameterizable workflow

One size fits all? Not with dataspot. - the parameterizable workflow is one of the central new main features available with release 4.0. With the extension of the existing workflow, from now on the definitions of statuses and status transitions for all metadata assets can be customized and assigned to individual models in dataspot.

The parameterizable workflow is thus another important tool for collaboration within the data excellence organization: it is possible to determine the relevant participants in the development and maintenance of metadata for each processing step in line with the company's own governance processes. An optional approval process ensures simple coordination with any number of participants. A customizable notification procedure also helps to ensure that people are informed when activities are pending.

Here's how it works:

  • dataspot. provides a standard for status definitions, which can can be adapted to serve individual requirements by the metadata manager by means of configuration (YAML).
  • The metadata manager manages any number of workflows in the client menu.
  • Each workflow consists of the desired status transitions and permissions for editing metadata.
  • Each model in dataspot. can be assigned to an existing workflow.
  • All status transitions can be assigned a release process by the metadata manager.

What do I need the parameterizable workflow for?

Just as each organization defines its own requirements for a valid metadata standard, it must also be possible to specify the rules and responsibilities for the joint management of enterprise-wide metadata individually. True to the motto: One size never fits all. Whether workflows with very few steps to publication or workflows that are more complex (often those aligned with the general requirements process in the organization) can be easily defined. A workflow can be assigned separately for each model. This makes it possible to take into account the varying workflow requirements of different types of metadata.

People who create metadata definitions are usually experts in a particular field. However, they often cannot be solely responsible for defining the meaning of data and other metadata definitions. Through the dataspot. workflow mechanism, all participants are actively involved in the decision-making process and associated activities are documented. This creates traceability in the specifications, and also a historical understanding of how definitions came about.

For many stakeholders in the data excellence organization metadata management is not their core task. It is therefore particularly important that notifications can be set individually, specifying for which metadata or for which changes notifications are relevant for individual users. Even in projects where metadata is used as the basis for various implementations, active notifications are needed to enable quick and efficient collaboration.

What's new in dataspot. 3.2

Our Release 3.2 features still deserve attention. Thanks to the cross-tenant use of metadata, actual collaboration across multiple organizations (organizational units) is possible.
